Who we are

Jeromel Media ("we") requests public records from U.S. government agencies. Jeromel FOIA Reader ("the app") is an internal tool used only by our own staff members, who connect their own Gmail accounts.

What the app accesses

With the staff member's permission, the app uses Google's read-only Gmail permission (gmail.readonly). It reads:

messages in the staff member's Sent folder that are public-records requests created by our system (identified by a reference code such as "JM-1234"), and
incoming replies from government agencies to those requests, including attachments the agency sends.

The app cannot send, edit or delete email. Personal email unrelated to records requests is not used.

How we use the data

To confirm a request was sent and delivered, and to detect bounced emails.
To match agency replies and records to the right request, and to sort replies (for example "needs more information", "fee required", "records attached").
Reply text may be processed by our service providers (such as an AI text-classification service) only to perform this sorting for us. It is never used to train AI models.

Google API Services User Data Policy

Jeromel FOIA Reader's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Gmail data, do not use it for advertising, and do not let people read it except staff handling the records request it belongs to, or where required by law or for security.

Storage and security

Data is stored on our own server in a database protected by access controls and encrypted connections (HTTPS). The Google access token is kept in a file only the server administrator can read.

Sharing

We do not sell or share Gmail data with third parties, except the service providers described above, who process it only for us, or where required by law.

Keeping and deleting data

Records-request emails and agency replies are kept while the request is active and for our records afterwards.
A staff member can disconnect the app at any time at myaccount.google.com/permissions.
To ask us to delete stored data, email jeromelmedia@gmail.com and we will delete it within 30 days.
